Professional Services Automation (PSA) solutions enable professional services organizations to effectively manage their consultants and drive profitable project delivery.
Overview of professional services automation (PSA) software
PSA solutions cater to professional services, i.e. those who sell their time and expertise through project-based work. It's crucial that you maximize billable time and ensure strong margins at your firm, or you won't survive long. A trusted way to standardize your project delivery and firm operations is to adopt a PSA tool - which will typically automate your:
- Time tracking
- Expenses
- Resourcing
- Quoting
- Invoicing
- Reporting
A good PSA solution will also integrate with your accounting system (for example, QuickBooks Online, Xero), your CRM (for example, Salesforce, HubSpot), and your HRIS (for example, Employment Hero).
This eliminates huge amounts of admin time, so that your expert consultants can focus on the work they do best. PSA tools are generally Software-as-a-Service (SaaS) platforms, available on a subscription basis.

The top 10 professional services management software options in August 2025
Different PSA tools serve different audiences - for example, some focus on creative agencies, some on architects and engineers, others on government contractors. Part of finding the best software for you is to choose one that's built for your industry.
You also don't want to be paying extra for feature bloat, or, on the other end of the spectrum, find yourself lacking a key feature and needing to pay for an extra software platform to close the gap.
If you're looking for a PSA solution to bring calm to the chaos at your firm - or looking to swap from an existing PSA platform that just isn't solving all your problems - then you've come to the right place. Here, we list the top 10 professional services automation (PSA) tools in August 2025.

Customer Feedback
"The best thing about Kantata is how it combines project management, resource planning, and finances all in one platform. You can track everything—from budgets to timelines to resource availability—without jumping between different tools. It gives you a real-time view of how everything is going, which makes it way easier to spot issues before they blow up."
"While Kantata CAN do a lot, it takes significant time and investment to get the most out of your experience. Elements like the resourcing center have the potential to be so useful but require too much upfront to be practically implemented."

BigTime is compatible with QuickBooks but not 100%. There is still a lot of work to be done in that area. When we first launched BigTime, this was a significant issue creating a difficult learning curve. I understand however that working with a massive company like Intuit to develop a software like this can be difficult and time consuming. It's a work in progress.

G2: Rated 4.7/5 stars ⭐⭐⭐⭐⭐
Capterra: Rated 4.7/5 stars ⭐⭐⭐⭐⭐
Customer Feedback
My overall experience with Rocketlane has been very positive. It’s a solid platform that keeps teams aligned and projects on track, especially in customer onboarding or service delivery scenarios. With a few interface refinements and expanded mobile support, it could easily become the go-to solution for any organization managing complex projects or client implementations
Rocketlane still feels like it is in the initial development stage for many features that are not thoroughly tested and rolled out prior to meeting standard business objectives. While new and expanded features are on the roadmap, it still appears to be lacking very basic features that other PSA tools have.

Capterra: Rated 4.6/5 stars ⭐⭐⭐⭐⭐
Customer Feedback
We’ve been using Scoro mainly for project management, tracking estimated vs. actual hours, budgets and planning team workload. It’s been really helpful having everything in one place and it definitely makes it easier to keep track of what’s going on.
What I don’t like about Scoro is that it is sometimes slow, particularly when opening a project with a lot of details. This has on one or the other occasion affected the efficiency of the team as we have to wait for a longer time to get the required data. Furthermore, it is necessary to add that reporting features could be more customizable. Though the customer support is helpful, such problems are irritating and can sometimes interfere with our operations.

G2: Rated 4.4/5 stars ⭐⭐⭐⭐
Capterra: Rated 4.5/5 stars ⭐⭐⭐⭐⭐
Customer Feedback
Takes a bit to learn, but once you wrap your head around it, the ease of implementation and functionality is great. We use this every day in our agency and it helps us keep track of all of our clients, projects and invoicing.
The user interface can feel cluttered and unintuitive at times, especially for new users. The learning curve is quite steep, and onboarding team members often requires additional training. Some modules feel overly rigid and don’t offer the flexibility needed for unique workflows. Additionally, reporting options, while robust, can be cumbersome to configure unless you’re well-versed in the system.

WFM has made it easier for our business to streamline invoicing and keep better track of time on jobs. With all the new updates and features, it can sometimes get a bit tricky to navigate, but the support team are always quick to respond when we raise a ticket.
After very painful months of getting it running, WFM still does not work correctly; when a bug is fixed, it generates other errors. Reports are not reliable, so we have to do double work. They know about all the issues; BlueRock can't fix them. Errors that happened when first launched had to be manually corrected, and some cannot be corrected, therefore, the data is permanently incorrect in the system. We cannot wait for the company to find a different system to get out of it
How do I find the right PSA tool for my firm?
Today’s services organizations must deal with various engagements at once - effectively managing resources, tracking time and expenses, and invoicing work - all while protecting margins and driving customer satisfaction.
The best Professional Services Automation (PSA) software for your firm will be one that:
- serves your specific industry, whether that is architecture, law, construction, or management consulting
- is built by people with professional services experience
- offers core PSA features that eliminate your admin
- has superior customer support
- is deeply connected with the wider business ecosystem, across accounting, CRM, HRIS and more, and...
- is well-regarded in the market.
Software review platforms like G2 and Capterra are useful when researching, but once you have a shortlist, it's best to start engaging with sales teams to book demos and get personalized advice on how their solution will meet your needs. Curious about Projectworks? Our team can help you!
