We spoke to Operations Manager at IMed Consultancy, Brian, about his experience with Projectworks.
Founded in 2012, IMed is a professional consultancy firm that helps clients with quality and regulatory advice in the medical device and in-vitro diagnostic manufacturing industry. Additionally, the team assists manufacturers that are legally required to appoint a UK Responsible Person (UKRP) to act on their behalf so they can place their devices on the market in the UK. Their team comprises specialists in different quality and regulatory fields with experience in what it takes to meet the regulatory requirements to get medical devices to market. IMed manages a rapidly-expanding customer base and retains clients for many years by consistently putting their needs, timelines, and budgets first. Brian joined IMed earlier this year as an Operations Manager to oversee the administrative team and assist them in managing IMed’s rapid growth. He comes from a medical device manufacturing background and understands the challenges companies in this industry can face.

In Brian's role as a manager, he needed a robust system to manage where the consulting team spent their time and who had availability. In addition, he required a strong resourcing function to support the team in delivering their projects on time and within budget.
"I think the most obvious thing we needed day-to-day as a consultancy firm was a system to manage our resources and people. We also needed to make sure that we had the right resource available to deliver on the contracts we've agreed with our clients."
IMed needed a way to work smarter – not harder. So, they turned to Projectworks to help them manage their projects.
The Solution
With the help of Projectworks' customer success team, the onboarding process went smoothly for IMed. Brian found Projectworks intuitive and easy-to-use, which meant he could start powerfully managing IMed's projects quickly. He noted that because Projectworks is so user-friendly, it was an easy system to train staff in, making the transition much smoother. In addition, when IMed does have questions, the ongoing customer success team is quick and responsive.
"I found it a really, really easy system to get into and learn and coach other people to use. I think it's very user-friendly. The engineering team, Zabe and Enrico in particular, have been very responsive to our requests and questions. So, we're getting great support from Projectworks as well, and it's definitely ticking the boxes.”
With Projectworks, Brian can now clearly identify where resources are being used and use visual prompts to adjust his projects accordingly. After that, his changes automatically populate on his staff's Projectworks view, allowing him to communicate project needs directly to staff and receive their timesheets all in one system.
"The way Projectworks presents our resourcing visually makes it very easy to identify when we have the correct resource available so we can actually include that in conversation with our clients. In the past we may have had a conversation with a client, then had to go and interrogate a load of data to figure out when a project might happen, then gone back to the client and said we wen’t able to do it until then.”
“Having the information the way we have it on Projectworks, makes it easier for us to see when resource is going to be available and be able to make some real deliverable promises about timelines and deadlines.”
We asked Brian what his perception of Projectworks is, and he said, "Projectworks is a company that understands the idea that your clients and customers are helping you to develop the Projectworks software. This isn’t because we're telling you what to design or what to do and things like that, but because you've presented something that we can use, we come to you with questions about other ways that Projectworks could be used, and then you are using your expertise to develop the software to meet those needs.”
Brian told us he finds Projectworks to be a forward-thinking business that understands the importance of customer service. He noticed that Projectworks appreciates the benefit of a two-way conversation between the client and the system owner. For IMed, this has been a perfect combination of a high level of customer service and proactive responses to customers' product requests and questions. He found this reinforced his already positive customer service experience.
“The introduction of Projectworks gave us a real future view of what our business will look like in terms of the revenue we generate from the projects that we have in play. That’s something we never had before.”
Lastly, the reporting function in Projectworks has been invaluable for Brian because he is responsible for the business's finances. Projectworks helps Brian stay ahead of the game by flagging when there is a potential cash flow risk. He can then use this information to identify the problem and adjust accordingly.
“It helps inform us to look for a solution before the problem hits. It’s identifying an iceberg before it hits so that we can actually tackle the iceberg before it sinks the ship.”
