New in Projectworks: October - December 2024
This quarter, we focused on that perennial problem in professional services - the timesheet. Our new features make timesheets more efficient, helping you maximize billable hours and make sure time entries are submitted on time, every time. Plus, find out what’s coming in 2025…
According to our recent Consulting Industry Benchmarking Report, which surveyed professional services staff in the global architecture, engineering, management consulting, and software services industries:
- 22.3% of time entries are submitted after the week they are due.
- 24.1% of survey respondents feel their timesheets aren’t entered in timely and accurate manner.
Late timesheets are a widespread issue in the professional services field, and negatively affect your profitability. That’s why we decided to focus on improving timesheets in Projectworks this quarter, while also adding functionality for write-offs, custom fields, and enhanced templates.
Our new features include:
- Timesheet reminders
- Copy timesheets
- Write-off time entries
- SQL views include write-off columns
- Custom field enhancements
- Template enhancements, including support for non-English languages
- …plus, we rolled out our brand refresh in the product.

Eliminate late timesheets at your firm with Timesheet Reminders
If you’re in professional services, you hate late timesheets - it’s a fact.
As a platform designed for the professional services industry, we want to make running your business easy, so you can focus on what you do best. In response to the timesheet trends we saw in the industry, we created a new feature in Projectworks: timesheet reminders.
We released these reminders in October, and we’re thrilled to share that they're already used by almost 1 in 5 organizations in our community.
As a result, late timesheet submission in Projectworks has plummeted by 76.3%!
This saves you time spent chasing down timesheets, and reduces negative impacts on payroll and invoicing for a healthier company outlook.

Targeting your timesheet reminders by week
You asked for the ability to target a timesheet reminder to the current or previous week. We listened to your feedback and launched this feature in December, which means your reminders are now more flexible - for example, you can now set a reminder on a Monday for a deadline that passed in the previous week.

Save admin time each week with our new Copy Timesheet feature
We also wanted to make life easier for those users who are entering the same time entries on a regular basis - so we added the ability to copy time entries from the previous week (or day) into your current timesheet.
This saves employees admin time so that they can focus on billable work - and drive impact for your firm.

We’ve also safe-guarded our new “copy previous timesheets” feature so that there are no slip ups. Users are warned if they are about to override their existing time entries.

What are write-offs?
Write-offs grant you more flexibility over what you choose to invoice a client - pretty useful when delivering work in a dynamic services context!
When you are delivering a project, you may want to write-off time for a number of reasons, e.g.:
- the work took longer than quoted for;
- customer goodwill;
- an internal mistake.
In Projectworks, writing off time entries prevents them from being invoiced and removes the time from the project’s Work In Progress (WIP).

Reporting on write-offs
To allow you to report in write-offs in Power BI, we’ve added new columns to the following SQL Views:
- [BI].[FactProjectTimesheets]
- [BI].[FactProjectBurn]
- [BI].[FactUserActivity]
- [BI].[FactUserActivityWithHolidays].

Custom field enhancements
Professional services firms are unique - your purpose, projects, and people are all different. Projectworks is evolving as a flexible solution that supports unique ways of working and reporting. Our development team has worked hard to add more custom field functionality this quarter across screens and templates. You can create your own custom fields to capture and display information significant to your business.
View custom fields on additional screens
You now have the ability to filter, group, and show the custom fields for project, project budget, and timecode on additional screens (timecodes and time entries), which helps you to display your data in the ways that make the most sense to you.

Customize your invoices and expenses
You can now add custom fields to invoices and expenses. These custom fields can be shown as columns, filters, and groups to make it easier to view invoices and expenses as required.
Template enhancements
In Projectworks, it’s possible to setup and customize templates that are used to create PDFs for invoices, invoice breakdown reports, quotes, and purchase orders. This is a useful way to standardize communications from your business.
Support for non-English languages in invoice and invoice breakdowns
Previously, invoices and invoice breakdown templates in Projectworks could only be populated in English. In some countries, it’s a legal requirement to invoice in another language, for example French in Quebec. This quarter, we added the ability to populate these templates with any non-English language, providing more flexibility for global businesses.
Custom MergeFields in invoice and quote templates
We’ve also made it possible to further customize invoice and quote templates with custom MergeFields. Users can now:
- Enable Company and Project MergeFields in Invoice template
- Enable Organization's TaxLineDescription MergeField in Invoice template
- Enable ClientTaxNumber MergeField in Quote template
- Add ExpenseClaimNumber and ExpenseType MergeFields to Invoice Breakdown template.

Don’t worry - the styling updates in the product haven’t changed Projectworks' functionality.

To help you work more efficiently, Projectworks needs to be deeply integrated with payroll, HR, and CRM solutions. We’re looking forward to adding popular people management solution, Employment Hero, to our stable of native integrations, which already includes Xero, QuickBooks Online, MYOB, Salesforce, HubSpot, Jira, Azure DevOps, and 12d Synergy.
Employment Hero’s HR platform allows global businesses to manage their people in one place. Our proposed integration will allow Projectworks users to pull leave data from Employment Hero, with plans to expand to other employment data in the future.
